We have very busy lives. It can be tough to juggle all of our commitments during the year; work, friends and family, and we have to be careful to make sure that it doesn’t get on top of us. Making plans will have two main benefits that will ultimately lead to you maintaining productivity in the workplace.

Fewer Distractions

One of the main reasons why we get distracted is because we are worried about other things that need doing. We may be getting stuck in our job when we suddenly realize that our children have a parents evening coming up, or we need to do the shopping. Rather than carrying on working, we start to think about how we are going to fit other activities into our busy day. By making a plan, you are able to devote time to each activity, meaning that productivity in the workplace is maintained and your workflow is not disrupted.

We work best when we have a target to meet, and whilst we do have deadlines for work, these could be months in the future. It is very difficult to motivate yourself to do the job now when it doesn’t need to finished for a long time. However, by planning your time, you impose deadlines on yourself; you have to complete the job, otherwise you won’t be able to go to the football match on the weekend. This means, how employees interact with their tasks will affect the general productivity in the workplace. The way in which employees approach and execute a task will also impact productivity. In the workplace, there are many distractions that might cause an employee to be less productivity.

Email

The mailbox is important for every employee, mainly because it is the port of communication with management and customers, as well. Therefore, there is a temptation to check the email frequently, in case something important has popped in while they were working on something else. You find that during a task, employees check and respond to emails and as a result this will distract them from what they are supposed to be doing and the task will take much longer to complete than it might have otherwise.

Telephone

Sometimes not all calls are important and need to be attended to right away. As an effective employee, you need to have a time when you don’t respond to the phone and focus mainly on the tasks you have to do.

In the end, you will be able to increase your productivity in the workplace if you learn to avoid these problems. Check your email only once an hour or so and ask a co-worker to take your calls when you really need to concentrate on an important task.
